Literature Fulfillment Coordinator
The PCRM Foundation is seeking a Literature Fulfillment Coordinator to ensure the smooth and efficient day-to-day operation of PCRM’s mail room and literature/merchandise department.
Primary Areas of Responsibility and Specific Duties:
Literature-
- Work with employees to address on and off-site literature needs and then maintain needed on and off-site inventory (ensure that adequate inventory is available for volunteer work parties)
- Work with Publications Department to order literature
- Keep Literature Department adequately stocked, organized, clean and clutter-free
- Fulfill requests for literature
Merchandise-
- Work with employees to address on and off-site merchandise needs and then maintain needed on and off-site inventory
- Keep merchandise inventory adequately stocked, organized, clean and clutter-free
- Fulfill requests for merchandise in conjunction with Marketplace
Mail-
- Keep Mail Room adequately stocked with inventory/supplies, organized, clean and clutter-free
- Process incoming and outgoing mail (USPS, FedEx, UPS, DHL etc.)
- Maintain postage meter
- Facilitate courier requests
- Facilitate inter and intra office mail delivery
Administrative-
- Maintain vendor lists and contact information
- Complete check request forms for department invoices, credit card statements and expense reports
- Complete monthly UPS report
- Keep copies of all receipts
- Maintain department files
Other-
- Interact and maintain good working relationships with vendors
- Introduce new employees to literature/merchandise/mail procedures; maintain procedural fact sheet to be given to new employees
- Cross-train with the Facilities Coordinator and Receptionist so as to be able to provide back-up assistance/coverage
- Be an expert in PCRM’s procedure for handling suspicious mail/packages
- Perform other duties as needed or requested
Required Education, Experience, & Skills-
Education-
- Minimum of a high school degree; bachelor’s degree preferred
Experience-
- Minimum of one year of office experience; operations-related work experience preferred
Skills-
- Good written and verbal communication skills including the ability to summarize key issues and activities
- Ability to handle multiple tasks, prioritize, work well under pressure, meet deadlines, and see projects through to completion
- A proactive outlook
- Ability to make sound, independent judgments
- Organized with attention to detail
- Ability to maintain good relationships with vendors
- Proficient use of Microsoft Office suite
- Ability to identify problems and develop solutions
- Professional skills, demeanor, and work ethic
- Ability to maintain a sense of urgency, efficiency, and flexibility
- Experience with QuickBooks software preferred
Other-
- Enthusiasm for PCRM’s mission and objectives
- Ability and willingness to travel to related seminars, conferences, training, meetings, etc.
- Interest in developing new competencies as needed for the responsibilities of the position
- Ability and willingness to work evenings and weekends as needed
Terms of employment: Full-time in PCRM’s Washington, D.C., office (Friendship Heights neighborhood/metro)
